User Permissions

  • Team Members: Can log time and submit timesheets
  • Project Managers: Can approve timesheets for their projects
  • Organization Owners: Can approve all timesheets and access all reports

Logging Time

Access the Timesheet

  1. Navigate to Timesheet from the left sidebar
  2. You'll see the current week's timesheet by default
  3. Use the week navigation buttons to view different weeks

Adding a Time Entry

  1. Click the "+ Add Time Entry" button
  2. Select the Date for your time entry
  3. Choose the Project from your assigned projects
  4. Enter Hours (minimum 0.25, maximum 24 hours)
  5. Select Entry Type:
    • Billable - Client billable work
    • Non-Billable - Project work (not client billable)
    • Internal - Internal company work
    • Meeting - Client or internal meetings
    • Training - Professional development
    • PTO - Paid time off
    • Holiday - Company holidays
  6. Add a Description of the work performed
  7. For billable entries, set the Hourly Rate
  8. Click "Save" or "Save & Add Another"
Important: Time entries are validated to ensure:
  • Hours are in 0.25 increments (15 minutes)
  • Daily total doesn't exceed 24 hours
  • You cannot log time more than 8 weeks in the past
  • Future time entries are only allowed for PTO/Holidays

Quick Entry Shortcuts

  • Ctrl + S - Save entry
  • Ctrl + Enter - Save and add another
  • Esc - Close modal

Editing & Deleting Entries

You can edit or delete time entries only while they are in Draft status. Once submitted for approval, entries are locked and can only be edited after rejection.

Submitting Timesheets

Weekly Submission Process

  1. Review your time entries for the week
  2. Check the Weekly Summary at the top:
    • Total Hours
    • Billable Hours
    • Utilization Percentage
  3. Click "Submit for Approval"
  4. Confirm submission in the dialog
Tip: Enable Auto-submit on Friday in your user preferences to automatically submit your timesheet every Friday at 5 PM.

Timesheet Status

Recalling a Submission

If you need to make changes after submitting, you can recall your timesheet:

  1. Navigate to Timesheet
  2. Click the "Recall" button on the submitted week
  3. Make your changes
  4. Resubmit for approval

Approval Process (For Managers)

Accessing the Approval Queue

  1. Navigate to Timesheet > Approvals
  2. View all pending timesheet approvals
  3. Filter by team member or date range

Reviewing & Approving

  1. Click on a timesheet to view details
  2. Review hours by day and entry type
  3. Check for completeness and accuracy
  4. Either:
    • Approve: Click "Approve" to approve the timesheet
    • Reject: Click "Reject" and provide a reason

Bulk Approval

For efficiency, you can approve multiple timesheets at once:

  1. Check the boxes next to timesheets to approve
  2. Click "Bulk Approve"
  3. Confirm the bulk approval

Delegation & Escalation

  • Delegate: Assign approval to another manager if you're unavailable
  • Escalate: Send to a higher-level manager for complex situations
Notifications: You'll receive email and in-app notifications when:
  • New timesheets are submitted
  • Timesheets are awaiting approval (Monday reminder)
  • You have pending approvals in your queue

All reports can be exported in multiple formats:

Billing & Invoicing

Setting Up Billing

  1. Navigate to Settings > Rates
  2. Set your organization's default hourly rate
  3. Configure role-based rates (optional)
  4. Set project-specific rates (optional)

Project Budget Tracking

  1. Go to Projects > [Project Name] > Budget
  2. Set budget hours and budget amount
  3. Monitor budget utilization in real-time
  4. Receive alerts at 80% threshold

Generating Billing Reports

  1. Navigate to Reports > Billing
  2. Select date range
  3. View:
    • Billable hours by project
    • Revenue by project
    • Cost analysis
    • Profit margins
  4. Export to PDF or Excel for invoicing

Frequently Asked Questions

Yes, you can log time up to 8 weeks in the past. This limitation helps maintain data accuracy and billing cycles.

The system prevents you from logging more than 24 hours in a single day. If you reach this limit, you'll need to adjust your entries.

No, approved timesheets are locked and cannot be edited. This ensures billing accuracy and audit compliance. If you need to make changes, contact your manager or organization admin.

Navigate to Holidays > Requests to submit PTO requests. Your manager will receive a notification to approve or deny the request. You can also log PTO directly in your timesheet for company holidays.

The minimum time increment is 0.25 hours (15 minutes). All time entries must be in 15-minute increments (0.25, 0.50, 0.75, 1.00, etc.).
